6、外貿英語函電的語言特點
商務信函一般由:信頭、編號和日期、封內地址、稱呼、事由、信文、結尾敬語、簽署、附件、附言等組成。
信頭(Heading):指發信人的姓名(單位名稱)、地址和日期,一般寫在信紙的右上角。一般公函或商業信函的信紙上都印有單位或公司的名稱、地址、電話號碼等,因此就只需在信頭下面的右邊寫上寫信日期就可以了。
地址:英文地址的寫法與中文完全不同,地址的名稱按從小到大的順序:第一行寫門牌號碼和街名;第二行寫縣、市、省、州、郵編、國名;然後再寫日期。標點符號一般在每一行的末尾都不用,但在每一行的之間,該用的還要用,例如在寫日期的時候。
日期的寫法,如1997年7月30日,英文為:July 30,1997(最為普遍); July 30th,1997;30th July,1997等。1997不可寫成97,以免引起歧義。
信內地址:在一般的社交信中,信內收信人的地址通常省略,但是在公務信函中不能。將收信人的姓名、單位、地址等寫在信頭日期下方的左角上,要求與對信頭的要求一樣,不必再寫日期。
稱呼(Salutation)是寫信人對收信人的稱呼用語。位置在信內地址下方一、二行的地方,要求從該行的頂格寫起,在稱呼後面一般用逗號(英國式),也可以用冒號(美國式)。寫給公務上的信函用Dear Madam,Dear Sir或Gentleman(Gentlemen)不用專指某個人。注意:Dear純屬公務上往來的客氣形式。Gentlemen總是以復數形式出現,前不加Dear,是Dear Sir的復數形式(有時也可Dear Sirs)。寫給收信人的信,也可用頭銜、職位、職稱、學位等再加姓氏或姓氏和名字。例如:Dear Prof. Tim Scales, Dear Dr.John Smith。
事由:在公務信函中,通常在稱呼與正文之間,有Re:或Subject:(事由)字樣。一般在信紙的中間,也可與「稱呼」對齊。還應在底下加橫線、加粗等,以引起讀信人的注意,使收信人便於在讀信之前就可了解信中的主要內容。
正文(Body of the Letter):位置在下面稱呼語隔一行,是信的核心部分。因此要求正文層次分明、簡單易懂。
結束語:恭維性的,位置在正文下面一到兩行的地方,從正文的開頭偏右的位置,句末用逗號,比較常用的是truely yours(yours truely)或者faithfully yours、sincerely yours。
簽名:此項是必需的,結束語後的一到兩行後面,也是在信紙的中間偏右的位置開始寫,同時,在結束語的正下方簽名下面要用機器打出簽名,以便於對方識別。還需要把寫信人的頭銜、職位等打在名字下面。
附言:該內容可有可無,簽名下方用PS開頭,表示下面的內容是補充的,ps應和正文齊頭。附言應盡量簡短。而一般盡量避免使用附言,因為這樣表明你正文的內容未考慮完備。
附件:有時按需要應該添加。信紙的左下下,用英文字母encl:或者enc:表明後面是附件的內容。

the brochure this month." 要好。
三、Completeness 完整
一封商業信函應概況了各項必需的事項,如邀請信應說明時間、地點等,確忌寄出含糊不清的信件。
四、Clarity 清楚:意思表達明確,要注意:
(一)避免用詞錯誤:
例如:As to the steamers sailing from Hong Kong to San Francisco, we have bimonthly direct services.
此處bimonthly有歧義:可以是twice a month 或者once two month.故讀信者就迷惑了,可以改寫為:
1.We have two direct sailings every month from Hong Kong to San Francisco.
2.We have semimonthly direct sailing from Hong Kong to San Francisco.

(二)注意詞語所放的位置:

寫作商務信函並不要求您使用華麗優美的詞句。所有您需要做的就是,用簡單朴實的語言,准確的表達自己的意思,讓對方可以非常清楚的了解您想說什麼。圍繞這一點,我們總結了幾方面的內容,希望對您寫作商務信函有借鑒作用。
1、口語化
每一封信函的往來,都是您跟收信人彼此之間的一次交流。人都是感性的,所以您需要在您的信函里體現感性的一面。然而很多人都有一種誤解,以為寫作商務信函就應該用一種特殊的「生意腔」,於是把一封本來應該是熱情而友好的信函寫得呆板而死氣沉沉。他們寧願寫「Your letter has been received」,「Your complaint is being looked into」而不是「I have received your letter」或者「We are looking into your complaint」。其實我們簡單的來理解一下,每次信函的往來不就是跟對方進行了一次交談嗎?只不過是把交談的內容寫到了紙上而已。多用一些簡單明了的語句,用我/我們做主語,這樣才能讓我們的信函讀起來熱情,友好,就象兩個朋友之間的談話那樣簡單,自然,人性化。
2、語氣語調
由於您寫的信函都是有其目的性的,所以您信函里所採用的語氣語調也應該符合您的目的。在寫之前先不妨仔細考慮一下,您寫這封信函是想達到一個什麼樣的目的,您希望對收信人產生一種怎樣的影響呢?是歉意的,勸說性的,還是堅決的,要求性的。這完全可以通過信函中的語氣語調來表現。
3、禮貌
我們這里所說的禮貌,並不是簡單用一些禮貌用語比如your kind inquiry, your esteemed order等就可以的。而是要體現一種為他人考慮,多體諒對方心情和處境的態度。如果本著這樣的態度去跟別人交流,那麼就算您這次拒絕了對方的要求,也不會因此失去這個朋友,不會影響今後合作的機會。
特別要注意,當雙方觀點不能統一時,我們首先要理解並尊重對方的觀點。如果對方的建議不合理或者對您的指責不公平時,請表現一下您的高姿態,您可以據理力爭,說明您的觀點,但注意要講究禮節禮貌,避免用冒犯性的語言。
還要提醒一點,中國人有句話叫做「過猶不及」。任何事情,一旦過了頭,效果反而不好。禮貌過了頭,可能會變成阿諛奉承,真誠過了頭,也會變成天真幼稚。所以最關鍵的還是要把握好「度」,才能達到預期的效果。
4、簡潔
就象前面提到的,要用簡潔朴實的語言來寫信函,讓您的信函讀起來簡單,清楚,容易理解。用常見的單詞,避免生僻或者拼寫復雜的單詞。一個單詞可以表達,就不要用片語。多用短句,因為短句更容易理解。少用「and」,「but」,「however」,「consequently」這些讓句子變得冗長的連詞。在同一封信函里,不要使用多個相同含義的單詞。比如,您前面寫了「goods have been sent」,那後面再提到這件事時就不要再用其他單詞如「forward」「dispatch」等。因為這樣寫會誤導您的讀者無謂地去考慮這些詞之間是否另有含義。
5、回復迅速及時
給買家的回復,千萬要迅速及時。因為買家通常只看最先收到的幾封回復,從中去選擇合適的供應商。如果您的回復不夠及時,就可能因為搶不到先機而失去商機。
6、標題
這一點是特別針對寫電子郵件的。也許很多人都沒有意識到,事實上,E-mail的標題是很重要的一個部分,您的郵件給對方的第一個印象就是通過標題來完成的。如果標題沒有內容,看起來象群發的垃圾郵件的話,很多買家就會直接刪除。比如這樣的標題「How are you?」 ,「Can we work together?」,建議您改成「Proposal: Bright Ideas Imports--Zhejiang Textile』s Partnership Opportunity」或者「Introction: Our Proct Offerings for Bright Ideas Imports.」這樣您的郵件會顯得更加專業。
